Quality Control for Packaging: A Buyer's Checklist

A practical quality control checklist for packaging buyers. Learn what to inspect before, during and after production to avoid defects and delays.

Effective packaging quality control covers material, artwork, print, structure, finishing and packing — checked before, during and after production. In our Dongguan facility, we run incoming material checks, in-process inspections and final pre-shipment audits to catch issues before boxes leave the factory.

Quality problems in packaging are expensive because they are often discovered too late — after goods have shipped or after customers complain. This checklist helps buyers understand what should be controlled at each stage.

The three stages of packaging QC

Quality control is not a single inspection at the end. It is a process that runs through three stages:

  1. Pre-production — material, artwork and tooling verification.
  2. In-process — checks during printing, die cutting and assembly.
  3. Pre-shipment — final inspection before goods leave the factory.

Pre-production checks

Before any material is printed, we verify:

  • Artwork vs approved PDF — confirm version, dimensions, colors and bleed.
  • Material specification — GSM, caliper, color and certification if required.
  • Printing plates and dies — match to approved proof and structural drawing.
  • Color standard — approved physical sample or Pantone reference.
  • Packing requirement — inner polybag, master carton, pallet pattern.

Skipping these checks is the fastest way to produce 10,000 wrong boxes.

In-process checks

During production, we monitor:

  • First-off approval — first printed sheet compared to approved proof.
  • Color density — measured with a densitometer on offset jobs.
  • Registration — alignment of multiple colors.
  • Die-cutting accuracy — dimensions, crease position and fold fit.
  • Finishing quality — lamination bonding, foil adhesion, emboss depth.
  • Glue strength — bond test on folder-gluer output.

We keep a production log for each job so deviations can be traced.

Pre-shipment inspection

Before shipment, we inspect finished goods against the buyer’s specification. A typical final inspection covers:

Sampling plans: AQL

For large orders, we use Acceptable Quality Limit (AQL) sampling. AQL defines how many samples to inspect and how many defects are acceptable.

Common AQL levels:

  • AQL 1.0 — strict, used for critical defects.
  • AQL 2.5 — standard for packaging defects.
  • AQL 4.0 — more lenient for minor cosmetic issues.

Buyers should agree on the AQL level before production starts.

Real example: catching a registration issue early

A beauty brand ordered 8,000 folding cartons with a fine pattern. During first-off inspection, we noticed a 0.5 mm color registration shift on the background. The press was recalibrated before mass production. If the issue had reached the customer, the entire run would have been rejected. Early in-process control saved both time and money.

Buyer responsibilities

  • Clear artwork with dimensions and tolerances.
  • Approved physical sample if available.
  • Defined defect classification.
  • Agreed AQL level.
  • Packing and labeling requirements.

After receiving a sample, buyers should respond quickly. Delayed approvals push the production schedule.

Third-party inspection

Some buyers hire third-party inspectors like SGS, Bureau Veritas or AsiaInspection to audit goods before shipment. We welcome third-party inspections and coordinate access to the factory. A typical pre-shipment inspection takes one working day.

Documentation

Good QC depends on records. For each order, we keep:

  • Material test reports
  • Color proofs and approvals
  • First-off sample
  • In-process inspection records
  • Final inspection report
  • Packing list and shipping marks

These documents support traceability and help resolve disputes if they arise.
